Lynda,  It’s been a rather crazy week and I just finally had a minute to write you a note.    
I just wanted to let you know that the luncheon was a great success! We had a great turnout .   
Lauren was so pleased with everything and I received so many comments from the guests about how lovely 
your venue is and how good the food was.  Hopefully those folks will keep you in mind for future events.  
I couldn’t have asked for a better server – he was wonderful!  I made sure that I showed my appreciation to him, 
but wanted you to know that he represents you very well and did an extraordinary job.

To reserve your date we would need the rental paid in full.  
Your menu is needed to complete your contract. The final count is due one week before.

 Since these luncheons are pre ordered your group will not have to wait for the order to come out.  There is a 15 person minimum which means you must pay for 15 people but can have less and the extra luncheons would be wrapped up for you. Everyone must order the same luncheon menu.  We're ready the minute you get here so you'll have a lot of time to eat and visit.  Rental charges are for ONE room at the Front of the facility.  If the ballroom is needed for larger groups the cost will go up.
 Time slot for private luncheons on Tuesday through Thursdays is 2 hours held between 11:00 and 2:00.  On Saturdays time starts at 11:00 a.m. and must be over by 1:00 p.m. (unless you add hours) and rental for the first 2 hours is $ 100.00.   Client can add hours on a Saturday but all early rentals must be over by 3:00 p.m.  These extra hour would cost $ 50.00 more per hour. 

If a Sunday rental is needed the client can choose their time slot if no other function is booked that day.  
2 hours rental runs $ 200.00 and 3 hours rental runs $ 300.00.

With 20 or more guest No Rental Charge for the first Two Hours in the front of the facility during the 
December Tuesday through Friday if held at lunch time 11:00 to 1:00.
Any hours over the first Two will run $ 50.00 per hour.
If ballroom is needed for larger groups there is a charge.

No outside catering or food may be brought in.

This rental charge is Not a deposit on food order and will Not be credited towards the food order. 
Once the rental is paid the client must select a menu for their guest and everyone has to have the same food choices. 
If your luncheon is during the week and your guest count is larger than 20 there will still
need to be a contract and menu written up and credit card number to hold the room even though there is no rental charge.
Large groups holding their function in the ballroom will need to give a 1/2 deposit on the food cost to hold their date. The other half of the money and final count is due 2 weeks before the function.

The payment for smaller luncheons held in the front portion of the facility are due the day of
 the function but we must have a credit card number as a security deposit for the 
food if groups are over 25 people. We do not accept individual checks or payments from each guest.  
Final payment must be done with cash, one check or one credit card.  If a group wants their guest to pay individually
they will need the guest to write a check to them and issue us one check.

  If the client do not wish to give a credit card number then we will need a deposit check for half of the food 
ordered and the other half would need to be paid the day of. 
Final count must be given ONE week before the function but can be increased up to 5 days 
before the function but not decreased.

Pinehurst Events Facility also offers a very large ballroom (3,200 sq. ft.) with a buffet area and 
private entrance and powder room for larger luncheons on Saturday mornings.
  
This area can seat 50 to 200 people depending upon your needs.  
The first TWO hours run $ 300.00 for the ballroom and
$ 150.00 for each additional hour.

 Once again this area on Saturdays is only offered till 1:00 p.m. unless the client adds hours.
All Saturday morning functions with added hours must be totally over by 3:00 p.m. or sooner
depending upon what other events are booked in the evening.

Extra hours can only be added if we do not have a wedding or special event already scheduled that begins early.

(Chicken Salad, Pimento Cheese, Egg Salad and Cucumber)

the rental charge is $ 300.00 for 3 hours and will give you 2 larger rooms in the front of the house.  
On Sundays there are no time restrictions on the 3 hours time slot.

If your group is large enough to need the ballroom there is a small increase for the
 rental charge for it.
